Use a process approach for auditing
The Process Model is significantly different from the element, or checklist approach. As not all organizations do business in exactly the same way, their respective management systems should not be structured in the same way. The process approach allows companies to develop management systems that align with the way they do business.
Companies define themselves with a series of processes that they employ in running their operations. Once the processes have been defined, the organization then determines the sequence in which processes are done, and their interaction with one another. This model offers much more latitude in how systems can be described, with more emphasis on the organization's unique characteristics.
The Process Model is most effective when focused on continual improvement and customer satisfaction, with the emphasis being placed more on process improvement and less on documentation. In fact, the process approach can be a relief to organizations burdened with the commitment of resources to maintaining quality system documentation that is voluminous, wordy, and cumbersome.
Consider process-mapping techniques in lieu of text descriptions to streamline documentation.
There is no single, acceptable method for defining and documenting an organization's management system and it's processes and interactions. The only requirement is that the processes are defined accurately. Simple process maps or flow diagrams can be employed very effectively to give a "40,000 foot view" of the organization. When conducting internal audits, the guidelines of ISO 19001:2002 should be followed, which include audit initiation, document review, conducting on-site activities, and delivery of the audit report. Auditors should follow a process approach, and not be driven by a checklist. The checklist should be filled out after the audit is completed.
Auditors should be properly trained and have relevant experience. They should possess the knowledge and skills to effectively apply audit principles, manage time, use proper sampling techniques, and communicate effectively.
